Overview

The Systems Manager is responsible for owning and managing technical and non-technical programs and projects related to design, development, implementation and maintenance of systems/procedures that are used to monitor and streamline processes for a wide array of value chain domains such as Quality, Environment and Social Management. The Systems Manager is also responsible for managing projects related to strategic business initiatives and product development, testing and quality assurance of Guest Supply products.

Responsibilities

  • Manage and ensure successful execution of projects related to design, development, testing, implementation and maintenance (per Systems Development Lifecycle approach) of systems/procedures that are used to monitor and streamline processes across the organization.
  • Own and manage scope, schedule, budget, implementation etc. of technical and non-technical projects related to a wide array of domains including but not limited to quality/product management, business strategy, innovation, vendor compliance, environmental sustainability, social compliance, Supplier Relationship Management etc.
  • Plan, manage and ensure successful execution of business analysis activities that are being conducted using tools such as gap analysis, requirement gathering etc. and identify business areas and functions that may benefit from new system/procedure initiatives. Research viable solutions and work closely with relevant stakeholders, colleagues, developers and third party vendors to ensure optimization and implementation as per business needs and requirements.
  • Manage initiatives related to conceptualization and development of documents such as Corporate Standards, Action plans, SOPs, User Guides etc. to help ensure objectives related to Quality, Environment, Social Compliance and other system domains, at both corporate and product level, are being met.
  • Identify and manage initiatives that help maintain and improve product and process quality by identifying and tracking relevant metrics across the value chain through product testing, specification management, audits etc. Based on the results of these evaluations and industry/customer requirements, plan and manage product/process improvement projects that help integrate value engineering, environmental sustainability, and lean manufacturing practices as part of Guest Supply’s business systems.
  • Plan and manage quality evaluations/sample approvals that are carried out in case of new product development projects and/or quality concerns to ensure continuous product compliance with Guest Supply requirements and specifications. Also, manage quality complaint related tasks and ensure that the complaint resolution process is functioning effectively and quality concerns are being resolved in a fair and timely manner.

Qualifications

MINIMUM EDUCATION, INCLUDING DEGREES & CERTIFICATIONS

  • 4 year bachelor’s degree required. STEM, business or quantitative background preferred.
  • Master’s degree (MBA) preferred.
  • PMP (Project Management Professional) certification preferred.

MINIMUM EXPERIENCE

  • 2 - 4 years’ experience related to specified primary responsibilities.

SKILLS & ABILITIES

  • Excellent Project Management/Organization skills – Ability to plan, prioritize and execute multiple initiatives/deadlines autonomously and shift priorities as necessary. Able to manage large, complex projects. Uses time effectively. 
  • Excellent analytical and problem solving skills – Quickly identify problems/gaps and propose solutions based on analysis of available information and supplementary research. Ability to break down larger problems into smaller ones and quickly grasp key points from complex details. Comfortable with quantitative and qualitative analysis.
  • Ability to conduct primary and secondary research on assigned projects. 
  • Ability to imagine and help translate ideas into visual graphics for ease of communication.
  • Strong communication and report writing skills – Effectively gather information and requirements from relevant stakeholders and present them, in written or verbal form, to developers, suppliers, management etc.
  • Familiarity with the concepts and tools of business analysis, quality management, supplier management and vendor compliance. 
  • Ability to grasp new concepts and master new skills quickly and then apply them with minimal supervision.
  • Strong leadership skills, strategic and mental agility, and collaborative skills. Understands team dynamics and works well within a team structure. 
  • Professionalism - Approaches others in a tactful manner. Reacts well under pressure. Follows through on commitments.
  • Strong command over Microsoft Office (Word, Excel, PowerPoint, Access and Outlook). Ability to use software such as Microsoft Visio, Microsoft Projects or Smart Draw is preferred.

  • Normal Office environment. The noise level in the work environment is usually moderate.

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. 
  • Occasionally exposed to moving mechanical parts.
  • While this position will primarily work in an office environment, limited travel may be required to attend other company facilities, company events, staff meetings, training sessions, customer meetings and/or industry or vendor trade shows. 
  • May be required to utilize personal vehicle for business travel that may result in long periods of sitting. 
  • If working remote, must have required equipment and software to ensure timely communications. 
  • This position may require evening and weekend work depending on business needs and time differences with off-shore development team.
